Record a visitation plan

A visitation plan allows the Department to monitor the interactions between the child and his or her biological family and other participants. Visitation plans may also be recorded when a court has ordered supervised visitations for a child and his or her parents. You must record a visitation plan for any child for whom the Department maintains custodial rights or for whom the Department has facilitated an out-of-home placement.

You can record a visitation plan that is not part of a case plan. If a case plan for the child exists, you link the visitation plan to the case plan. A visitation plan must be linked to a case plan for each child who is in an out-of-home placement setting. Only one visitation plan can be active for a child at a time.

Follow these steps to record a visitation plan. (Begin at step 6 if you are selecting a visitation plan from the case plan record.)

  1. From the Home screen, click the Case tab. The Case Workload screen appears.

  2. Open the list of cases by clicking next to your name. The list of your assigned cases appears.

  3. Click the case ID number link of the case you want to view. The Case Overview screen appears.

  4. Click the Visitation Plan link in the main link menu. The Visitation Plan List screen appears.

  5. Click Add Visitation Plan to create a new plan. The Visitation Plan Details screen appears.

  6. In the Child Name field, select the child in the case for whom you are recording the visitation plan.

  7. Enter the date when this plan becomes effective. The current status of the plan defaults to Draft.

  8. Click Add Visitation Detail to enter a visitation record. The Visitation Information screen appears.

You can click the copy link to record a new plan that is based on an existing plan.

  9. Under Visitors, select at least one case member or a non-case member. Check the name of the case member or click Link Person to select a non-case member.

  10. Under Visitation Details, complete the required fields:

    Effective Date
    How Often
    How Long
    Location
Is there a Court Order Regarding Visitation?
    Visitation Type

  11. Click Save. You are returned to the Visitation Plan Details screen.

  12. Repeat steps 5 – 10 for each child that will have visitation. You can select the same child and add multiple visitation details.

  13. In the Responsibilities Narrative boxes, identify the parent’s responsibilities, the Department’s responsibilities, the Provider/Agency responsibilities and the relative, resource parent or other resource responsibilities, when applicable.

  14. If the visitation plan is complete for a child, select Complete in the Status field.

  15. Click Save. You are returned to the Visitation Plan List screen.

After the visitation plan has been recorded, you link case activity records for each completed visit. See Record casework activity details or Link a record of activity to a visitation plan.
