Case Closure(s)
This screen displays the approved and in progress closure records for a family case. Note: Make sure all services for the family are ended prior to attempting to close the family case.
Cases may be closed only when:
All associated work items, such as a visitation plan are ended, CFTM’s must be in completed status, not in progress or pending status.
The legal status for each child case member is expired or terminated,
The placement episode must be ended/discharged.
Associated paid case services have been end-dated on or prior to the date of the case closure.
All Investigations must be in “Closed” status.
Note: If no other assignments in the family case, when CPS closes the investigation, the family case will automatically close as long as there is no Closure record already in progress.
All ICPC/ICJ episodes must be ended prior to case closure.
All Non-Custody must be ended prior to case closure.
A closure record can be deleted if it has not been approved. Approved closure records remain in the system for viewing the details.
When a family case is closed, the closure date is the date of the supervisor's approval. The system also ends all case assignments.
Case Closure Grid:
Click select to view details of a closure record.
Click delete to delete an "In Progress" record.
Click Add Case Closure to enter a new closure record.
Enter the following:
Case Closure Reason: Required - Select Reason for Closure from drop-down
If Other Reason, Explain: If Other is chosen for Case Closure Reason this field is required, otherwise it is optional
Ongoing Closure Checklist Completed: Required – Select Yes, No, N/A from drop-down
Additional Comments: Optional
Spell Check – Checks spelling
Clear – Clears the narrative typed
Approval Button: Allows the closure record to be routed for Approval.
To route a Case for Approval for Closure:
Select Action in dropdown
Check Immediate box (if Route to My Supervisor was the Action selected)
Enter Comments as applicable
Spell Check: Spell checks Comments
Clear: Deletes all typed information in Comments
If not Routing to Supervisor these additional steps must be completed:
Organization Category: Select type of Organization case was assigned to
Organization: Select Organization, list is based on the Category selected
Team: Select the type team, list is based on the Category and Organization selected
Reviewers/Approvers: Select the Reviewers/Approver; list is based on Team selected
Save: Will save the information entered and route to Reviewer/Approver
Cancel: Will Cancel the Approval process and return user to the Case Closure Details Screen
Note: If any work items are not compete, the Unresolved Items for Closure screen appears and displays the items that will need to be resolved.

There is a discharge date on any placement episode.
The legal status for each child case member is expired or terminated.
All mandatory alerts on the case have been disposed.
A case disposition has been recorded for linked CPS intakes.
A case review has been approved within 30 days of the supervisor's approval of the case closure.
Associated paid case services have been end-dated with the date of the case closure.
For an ICPC case, closure has been initiated by the ICPC worker or supervisor who is assigned to the case, and that worker or supervisor is the only ICPC worker or supervisor who is assigned.
A closure record can be deleted if it has not been approved. Approved closure records remain in the system for viewing the details.

The system automatically reopens a closed case when a new CPS intake record is linked to the closed case. A new intake would be prompted, for example, when new information on the case requires the Department to become involved again. See Link an intake. |
