In the Case Management area of TFACTS you maintain all data for a family case. A family case is a record that consists of one or more members for the purpose of providing, recording, and supervising services for the members. A case is created at the end of the intake process. The screening decision maker screens in the intake, then either links the intake to an existing case record or creates a new case to which the intake is linked. When creating a new case, the screening decision maker also assigns the case to a caseworker. The case record reflects all of the intakes that are linked to it.
Case workload and overview
The system adds the new case record to a worker's Case Workload when the screening decision maker creates the new case. This worker will complete the case profile, which includes basic case information. See Record a case profile. If an intake is linked to an existing case, the system sends a notification to all of the workers assigned to the case.
Summary information about the case appears in the Case Overview screen. The Case Overview screen is also the hub of family case activity in TFACTS. The sidebar menu contains the links to view or add other kinds of records associated with the case such as assessments, court activities, services, permanency plan , and placements. Case recording
In TFACTS, you document ongoing case activities in the case recordings. Case recordings ensure the system reflects a current record of all services and contacts with a family. You document the provision of social services to families and children at any time during the life of a case. These include any services performed or arranged by the Department to manage the progress, supervision, and protection of the child and his parent, guardian, or custodian. You also document any court activities and visitations.
Case process reviews
A case process review is the process of reviewing a family case record to make sure the case record is complete, organized, and in compliance with DCS policy. At specific times, the system sends a notice to CPR reviewers to complete a case process review. A CPR reviewer can also conduct a CPR at any time, as an ad-hoc review.
